# 1 - Quick Tips
- Planning the transportation can
get very tricky—you don’t want to forget Grandma at home during all the chaotic day of
the wedding. The best way to organize the transportation is to have your entire guest
list in front of you and circle the people on the list that you want to make special
arrangements for – including the bride and groom.
Getting Organized. Here is a list of most of the transportation needs for
a typical wedding.
• Location of where the bride and mother or guardian will meet with photographer.
• If the Bride drives to the location, consider who will drive her car home.
• Location and time for bride’s attendants to meet the bride before the ceremony.
• Location and time for the groom’s ushers to meet the groom before the ceremony.
• Transportation for the newlyweds to the reception.
• Transportation for the wedding party to the reception.
• Transportation for the parents to the reception.
• Transportation for the children in the party to the reception.
• Transportation for grandparents to the reception and home.
• Transportation for out-of-town guests.
• Transportation of the gifts to the reception or final destination.
• Transportation of the gifts from the reception to the final destination.
• Transportation for the newlyweds to the airport or other location.
Most transportation companies require a minimum of three hours service.
Don't forget the gratuity expected to pay the driver (15%-20% of the fee). If possible,
assign the responsibility to someone to "tip" to the driver(s) so you or other wedding party
members don't have to worry about it.

# 2 - About
- Getting Helpers
Here's a great job for one of the ushers. Once
you decide exactly how the bride, groom, attendants, grandparents, etc., are taken to the ceremony
and the reception, assign someone who is reliable to communicate the information
to the transportation company and to the guests on your wedding day. This person should be the
last one to leave the ceremony to make sure no one is left behind. This person could also be the
one to confirm all the details of the transportation before the event.
Of course, most of your guests will make their own transportation plans. Out-of-town guests may rent
a car or you can ask someone to be their personal driver-for-the-day. This is a nice gesture since
out-of-town guests may not be familiar with the streets in town. Ask a brother, sister, uncle,
cousin to be a "mini tour guide" for the out-of-town guests.
Transportation Options
Limousine. The most popular option. You have elegance and class for your
transportation needs! This is a fine choice and a once-in-a-lifetime event for many of
you. Decide if you and your new spouse wish to ride alone in a stretch, or with your
best man and maid of honor, parents or others. Discuss how many limos you want to rent.
You may have out-of-town guests, grandparents, handicapped guests that you may want
to accommodate.
Family Car. Find out if there is anyone in the family with a luxury car that you can
take to the reception. Is there an uncle or parent with a nice Mercedes-Benz, or perhaps
a cool convertible?
Horse & Carriage. You might be the romantic type and want to celebrate this
special event in a unique way. The horse & carriage is perfect for Victorian style
weddings or just as an added touch. Many are found in the downtown streets of major
cities. Maybe you are having a country wedding where a horse and carriage is the
perfect choice to trot from the town chapel to the reception hall.
Horse. Popular Western style weddings include the Bride in all her glory
arriving at the ceremony on a horse. For a less formal country wedding, the Bride
and Groom can ride in together.
Hot Air Balloon. Talk about unique. Of course, being transported from the
ceremony to the reception in a balloon is quite extravagant; the weather may also
play a large role in the success of a timely arrival. What fun this could be.

# 3 - Contracts
- Get a contract signed to commit
the date (leave at least two months to book). Communicate your special requests by
providing a written or printed report of who, time, location from and location
destination. Verify that the contract details each task. An important consideration
is whether or not the transportation company has good drivers and licenses. Ask which
company they have insurance with so you can verify its coverage. Verify the license
number with the proper authority. Call references if possible.
The contract should include the deposit amount and when is final payment due. Find out
what you can/cannot do to the limo/car, such as adding decorations to the car and
bringing alcoholic beverages inside the cabin. Read the contractual details to answer
questions such as what happens if the transportation company doesn’t show up, or are
late to the event? What happens in case of an unfortunate auto accident while delivering
you or your guests? What will happen if the reserved car is in service on the day of
your wedding—what backup is available? What rights do you have if the car is in poor
condition or non-presentable inside or out? If the company has a web site, review it
for any hints of a lack of professionalism. Contact the BBB (Better Business Bureau) to
see if there are complaints listed.

# 4 - Questions to Ask

Available on your wedding date?
- May I view the cars before I select one?
- How many months/years have the company serviced weddings?
- How many weddings does the company service on an average weekend?
- How much deposit is required to secure the date and exactly what does the
deposit cover?
- Ask for a detailed price sheet or quotation.
- Ask about how familiar the drivers are with the site of your ceremony and/or reception.
- Ask about the details of the refund policy in case the driver does not show up on time, or
if you change your mind.
- Find out about their backup plan if the scheduled driver is ill on the day of your wedding.
- Ask about a backup plan if the car breaks down during your contract period.
